POLICY FORUM ANNUAL GENERAL MEETING-2010

As per our Memorandum and Articles of Association,
I am hereby giving notice to Policy Forum members of the Annual General Meeting for 2010.
During the last PF Board meeting, it was agreed that the dates for the AGM this year would be the 12th (pre-AGM activities) and 13th (AGM proper, half-day) of April, 2010.
The tentative venue is Blue Pearl hotel in Ubungo from 9.00 am. Many members have requested we move the venue from where we customarily hold (White Sands Hotel) as it is too far from the city and the upcountry bus station. Ubungo hence seems suitable and we will try our best to secure this location for the event.

You will receive a formal invitation with all the relevant documents at least 7 days prior to the meeting itself. As usual, however, the ordinary business of the AGM will involve:

1.To receive, consider and adopt the Audited Statement of Accounts for the financial year ending   31st December 2009 together with the 2009 Annual Report.

2.To appoint external auditors for financial year ending 31st December 2010.

Also remember that elections for members to take up vacancies within the PF Board of Directors are due during the AGM.
Therefore, organizations interested in joining the board are welcome to fill in the nomination form attached and return it to the Secretariat office. According to our MEMARTS, the rotation of members of the Board shall involve 50% of them retiring at every AGM and they shall be those who have been longest in office since their last election. The vacancies hence will be:

1.International NGO (replacing Actionaid after the departure of Ms. Rose Mushi).

2.International NGO  (replacing Concern Tanzania – longest in office since their last election).

3.Dar-based NGO (replacing TEN/MET – after the passing away of Dr. Joseph Kisanji).

4.Upcountry NGO (replacing KIVULINI - longest in office since their last election).

As last year, we look forward to seeing a good number of both new and old members in attendance.
